Only the Talent Management (TM) Specialist is able to move back a current task back to a previously-completed task in the process flow. This functionality forces to send the form to the previous step, especially when the form was submitted too quickly and it needs to be reviewed again.
What are the effects?
When a TM Specialist moves back a performance document, the status changes to "In Progress" and the tasks must be completed again. If the tasks were previously completed, any data that were entered are saved.
Task not eligible for moving back a task:
- Manager Activation
As "Manager Activation" task is the first task of the performance document, the TM Specialist is not able to move task back. However, if he/she is in a step above, he/she will be able to go back to the step "Manager Activation".
(!) If the performance document is in "completed" status, it would not be possible to move task back the document, the TM Specialist will need to "reopen" the document. (Related FAQ on this topic)
Step By Step:
As a TM specialist, Login into My Heartist Portal >> Click on Performance under My Action as T&C
Click on the task "Performance Documents":
To search a performance document, the Review Period, Performance Document Name and Employee Name/Manager Name/Department have to be filled in the search criteria. If not, you will not be able to view the Performance Document.
You can see the current task ready to be performed.
Click on "Move Task Back" in the "Actions" menu:
You can select the reason why you performed this action but it is not mandatory. Then select the Move Back to Task action from the drop down. When you are ready, you can click on "Submit":
The move is directly effective and the "Current Task" is then updated:
