1. Follow the below step-by-step to open these reports as a “L&D Specialist/Admin” from My Heartist Portal:

Login into My Heartist Portal as an L&D Admin/Specialist >> Click on Learning (Administrator Tools) tab under My Learning



Click on the Home tab from Administrator Dashboard



Click on Report Name Hyperlink as per your need:

     - Digital Learning Activity Detailed Analysis Report
     - Accor Billing Follow-up Activity Details Report
     - Accor Billing Follow-up Assignment Details Report



2. Follow the below step-by-step to open these reports as a “Manager” from My Heartist Portal:
 

Login into My Heartist Portal as a Manager >> Click on the My Team tab under My Learning



Click on the "Access to Reports" tab

Click on Report Name Hyperlink as per your need:

     - Digital Learning Activity Detailed Analysis Report
     - Accor Billing Follow-up Activity Details Report
     - Accor Billing Follow-up Assignment Details Report



3. Proper interpretation of the report data:


In order to properly interpret the report data, please take a look at the following two use cases which will be helpful to you for a better analysis.

Prior to this update, any of these reports would only display the data for “Voluntary & Required” assignments. Now it will display “Recommendation” assignments data as well. Hence, this update will enable us to display the entire data and help us to avoid any confusion.


Use Case 1


**********************Problem Statement**********************


For one learner, you can see that the same course has two different assignment statuses once you download the excel report.


For example, as per the below screenshot of the excel report, Learner’s Name is “Dukes Leo” (column AB & AC) and the excel report is showing “Same Course” (column A) - with Different Assignment Status”. 



*As per the system behavior one learner cannot learn the same course more than once.

******************* Root Cause of the issue******************* 


For learners, if you can see the same course more than once then it should be there because the learner has one “Voluntary or Required” assignment course and another one is “Recommendation” assignment type course.


In the excel report, “Offering Nameappears for “Voluntary or Required” course, but it does not appear for “Recommend” course.



*************** Solution to interpret data properly ***************


To track actual learner’s In-progress or Completed course, please follow the below step by steps in excel report:

1. Click on Filter from the Home tab

 2. Open the filter option from the “Offering Name” column.

  3. Keep “Select All” initially.

   4. Uncheck the “Blanks” from the filter.

    5. Click on “Ok”.



Impact after unchecking “Blanks” from the “Offering Name” column filter:

Once you uncheck “Blanks” from the “Offering Name” column, you can’t see the same course which assigns to the learner as Recommend course.

For example, after unchecking the “Blanks” column, we are able to see only “Completed” (Voluntary) course details in the excel report for “Dukes Leo”, not for the “Recommend” course.



Impact to keep “Blanks” from the “Offering Name” column filter:


If you keep “Blanks” from the “Offering Name” column filter, then you can see duplicate courses of data generated by “Recommend” learning.




Use Case 2



**********************Problem Statement**********************


For one learner, you can see that the same course has different assignment statuses and different Person Numbers once you download the excel report.


For example, as per the below screenshot of excel report, Learner’s Name is “Delelis Jerome” (column AB & AC) and the excel report is showing “Same Course” (column A) - with Different Assignment Status” and DifferentPerson Number”.



*As per the system behavior one learner cannot learn the same course more than once.

*******************Root Cause of the issue*******************


For learners, if you can see the same course more than once then it should be there because learner has two different person numbers.
 


*****Reason for the same user having different person number *****


When an employee transfers from one entity to another entity, the system will create a new user profile (a new person number).

 

Here is an example of an excel report data screenshot for a user (Delelis Jerome). He transferred from one franchised hotel (ibis Toulon La-Seyne) to another franchised hotel (ibis budget Toulon Centre), so he has two different person numbers: one associated with the previous entity (105527) and one associated with the current entity (118561).
