Use of this FAQ:

 

In case the SCORM file will be updated with minor/major business changes at that time this FAQ step-by-step document will be helpful to you. 

 

Ex. Previously SCROM_V1.0 was used as content in the learning course and now this SCROM file is updated with major/minor changes to SCORM_V2.0 then you have to follow the below step by step.



Follow the below step-by-step to update SCORM content (ex. updating SCORM_V1.0 to SCORM_V2.0):

1. Upload a new SCORM file (ex. SCORM_V2.0) 

Login into My Heartist Portal as an L&D Admin/Specialist >> Click on Learning Administrator Tools tab under My Learning


1.1 Click on Content from Catalog Recourses >> 

  1.2 Click on Add Content >> 

    1.3 Click on Add Online Content >> 

      1.4 Drag and Drop New SCORM file (ex. SCORM_V2.0) >> 

        1.5 Once 100% of import content is complete, click on Save and Close.
         


2. Assign all learners from the old offering to the new offering 

    

2.1 Rename the current Offering with “REMOVED” and enter “PUBLISH END DATE”.

2.2 Change all learners’ status to “WITHDRAWN” from “Removed” renamed offering.

2.3 Create a new Offering by copying the removed renamed offering.

2.4 Enroll the Learner from old offering to new offering.


2.1 Rename the current Offering with "REMOVED" and enter "PUBLISH END DATE".


 2.1.1 Click on Offerings from Learning Catalog >> 

  2.1.2 Search and Select current Offering Title

   2.1.3 Click on the Edit button

    2.1.4 Rename title to start with <<REMOVED>>

     2.1.5 Enter PUBLISH END DATE

      2.1.6 Click on Save and Close


2.2 Change all learners’ status to “WITHDRAWN” from “Removed” renamed offering. 


2.2.1 Click on Offerings from Learning Catalog >> 

 2.2.2 Search and Select Removed renamed offering Title

2.2.3 Click on the Learners tab

 2.2.4 Select only ‘In Progress’ & ‘Not Started’ status from the “Assignment Status” filter

  2.2.5 Click on Search to find all the learners from the offering.

2.2.6 Select all learners with the help of the Shift/Ctrl keyboard key 

 2.2.7 Once you selected all learners, Click on Change Status

  2.2.8 Click on Withdraw Learner

2.2.9 Select Withdrawn Learner ReasonComments and check to exclude learning record from learner’s learning history as per business process >> click on Withdrawn Learners button.


2.3 Create a new Offering by copying the removed renamed offering. 


2.3.1 Click on Offerings from Learning Catalog 

 2.3.2 Search and Select Removed renamed offering Title

  2.3.3 Click on the Copy button

2.3.4 Add an appropriate title for the new offering

 2.3.5 Remove End date

  2.3.6 Click on Save

   2.3.7 Click on the Activity tab

    2.3.8 Click on the Delete button to delete old activity

     2.3.9 Click on Yes

      2.3.10 Click on the +Create button

2.3.11 Add a new activity title

 2.3.12 Click on the Offering Content search icon

  2.3.13 Search content (with updated SCORM V2.0 file) that was created in STEP no 1

   2.3.14 Click on Select

    2.3.15 Click on Close

     2.3.16 Click on Save and Close


2.4 Enroll the Learner from old offering to new offering. 


2.4.1 Click on Offerings from Learning Catalog >> 

2.4.2 Search and Select New offering (created in step no 2.3)

2.4.3 Click on the Learners tab

2.4.4 Click on Add Learners

2.4.5 Choose Voluntary Assignment/Required Assignment/Recommendation as per business need.

2.4.6 Fill out Enrollment details as per business need

2.4.7 Click on Next

2.4.8 Click on Add button 

2.4.9 Click on Learning Assignment Criteria 

2.4.10 Click on Search from Learning Item filter

2.4.11 Click on Advance

2.4.12 In the Name select operator as “Contains” and search with Removed renamed offering (Old Offering)

2.4.13 In the Learning Item Type select operator as “Equals” and select “Offering

2.4.14 Click on Search

2.4.15 Select a learning item from the search result and click on Ok.

2.4.16 Select Assignment Status to “Withdrawn” from the filter

2.4.17 Click on the Preview button

2.4.18 Now you can see all the learners list whose assignment status is Withdrawn from the old offering.

2.4.19 Click on the Use Current Criteria button.

2.4.20 Here you can choose “Save learner criteria for reuse with other assignments and initiatives” (in case you have to use the same criteria in the future) or “Use the current criteria for this assignment only” >> Enter “Learner Criteria Name” >> Click on Ok

2.4.21 Now you can see learning assignment criteria >> Click on Next

2.4.22 From the Advance Rule tab you can fill in all the details as per the business need >> Once done click on the “Submit” button.

2.4.23 System will trigger one information message >> Click on “Ok

2.4.24 Once you refresh the Learner page, after waiting some time you can see all the withdrawn learner will be Enrolled from the old offering (which contain SCORM-V1.0) to the new offering (which contain SCORM-V2.0).


*Note: It is important for all learners to start learning at the beginning, even if they have already completed some activities.


3. Summary 


  • If there is a content SCORM change/update it is not possible to replace an existing SCORM in an activity.
  • You need to import new SCORM content.
  • Create a new offering and include new SCORM content activity.
  • Remove old SCORM content offering by adding Publish end date.
  • Enroll all learners from the old offering to the new offering.
    1. The progress of the enrolled learners cannot be transferred to the new offering 
    2. Learners have to start learning from the beginning even if some activities have been completed.
