1. Log in to the HR Data Tool using the link: https://hrdata.ines-accor.com/

2. Click on Preparation Period.

3. Click on Continue to Step 1.

4. Click on Continue to Step 2 to validate each perimeter.

*Important Note:

The status of the perimeters will currently be Red as the perimeters have not yet been validated

The user/delegate can also see the number of units in each perimeter. Number of units represents the number of hotels in each perimeter.

For example: If the number of units under the Brand IBIS is 5 then it means that 5 hotels are included under IBIS

5. To Validate a perimeter, click on the related arrow.

Every perimeter must be validated individually by the user/delegate.

6. After clicking on the related arrow of a perimeter, the user/delegate can see the list of all the hotels that are included in that perimeter

(Information about the Previous Period is also mentioned. If you see a tick means the hotel was included in the previous period).

7. For the current yearcheck if the list of all units in the perimeter meets the reporting requirements.

A. If there is no modification needed, then tick all boxes and click on “Validate” to validate the perimeter. (Directly go to Step 8 after clicking on Validate

BIf any modifications are needed (excluding/including a hotel) then the modifications need to be made at this step.

i) If a hotel needs to be excluded, then untick those hotels with a mandatory comment and click on Validate.

ii) If a hotel is missing, then click on Add a hotel and fill in the necessary details. Once the Administrator approves the addition of a hotel then the user/delegate can come back to this page to validate the perimeter.

8.  Select the Mode of Data Input (this option will not be visible if the perimeter has only 1 hotel)

9. Click on Validate the Mode of Data Input

* Important Note: Now the status of the perimeter must have changed to Green/Orange.

  • If all the units of a perimeter were ticked and validated, then the status of the perimeter will be Green

  • If a perimeter was partially validated then the status will be Orange and under Units, the user/delegate can see how many units were validated.

For example: There are 5 units in a perimeter and the user excluded 3 units. In such a case, the status of the perimeter after validation will be Orange as the perimeter is partially validated and under Units, we can see 2/5 as only 2 units were validated out of 5.

* Important Note: At the end of this validation process, we want the status of all the perimeters as Green (validated) or Orange (partially validated).

  • If the status of a perimeter is in Red, then the perimeter is not yet validated by the key user/delegate.

At the end of the Preparation Period (i.e., 31st December), all the perimeters that were not validated during the Preparation Period will be by default included in the Data Collection Period. So, the user will also have to provide data for the perimeters which were not validated by him/her. It is therefore essential that the user/delegate verify whether any modifications are required for each unit (hotel) that is visible under each perimeter, one by one.
